# Organizing & Tailoring the Task List

Organize and customize your task list to fit the way you work—using grouping, sorting, and display options.

## Grouping & Sorting Tasks

Control how tasks are presented using the **Group By** and **Sort By** dropdowns in the toolbar.

### Grouping Tasks

Use the **Group By** dropdown to organize tasks by the following attributes:

* **Type** (e.g., Approval, Confirmation)
* **Status** (e.g., New, In Progress)
* **Sent By** (who assigned the task)
* **Priority** (e.g., Normal, High)
* **Creation Date**
* **Due Date**

{% hint style="warning" %}
To display tasks without grouping, select **None** from the dropdown.
{% endhint %}

Each group header displays:

* The **group** **label** (e.g., *Today*, *This Week*)
* The **number of tasks** in the group (e.g., *3 Tasks*)
* A **toggle to expand or collapse** the group

{% hint style="warning" %}
Tasks that don’t fit the selected grouping criteria (e.g., tasks without a due date when grouped by **Due Date**) appear in a group labeled **Unknown**.

{% endstep %}

### Sorting Tasks

Use the **Sort By** dropdown to arrange tasks by:

* **To Do** (task name or title)
* **Status**
* **Sent By**
* **Priority**
* **Creation Date**
* **Due Date**

You can toggle between ascending and descending order at the top of the **Sort By** dropdown. Alternatively, click the **sort arrow** in a column header to sort directly within the task list:

{% hint style="info" %}
The sort arrow is always visible in the currently sorted column. In other columns, it appears when you hover over the header.
{% endhint %}

<details>

<summary><strong>Grouping &#x26; Sorting Behavior</strong></summary>

* **Default Settings:**&#x20;
  * By default, tasks are grouped by **Creation Date** and sorted by **To Do** (ascending).&#x20;
  * These defaults apply to new users or after clearing local storage.
* **Customization & Persistence:**
  * Once you customize your grouping and sorting preferences, they are saved automatically.
  * Your preferences will persist across sessions, even when filters or searches are applied, ensuring a consistent layout each time you return.
* **Independent Controls:**
  * Grouping and sorting are independent settings, allowing you to combine them for a tailored view.
  * **Example:**
    * Group tasks by **Due Date** to organize them into time-based buckets (e.g., *Today*, *This Week*, *Next Month).*
    * Sort by **Priority** to rank tasks within each group.

## Tailoring Task Display <a href="#customizing-task-display" id="customizing-task-display"></a>

Use the **Table Settings** menu ( <i class="fa-gear">:gear:</i> ) to control how tasks are displayed and how you interact with them. You can:

* Show or hide columns such as **Status**, **Sent By**, **Priority**, and **Due Date**
* Adjust **Group By** and **Sort By** preferences

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://interfacing.gitbook.io/interfacing-help-files/end-users/to-do/organizing-and-tailoring-the-task-list.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
