# Managing Your Tasks

View, organize, and complete your assigned tasks.

## Overview

The **To Do** module is the central workspace for managing tasks assigned to you across different workflows, including approvals, confirmations, and reviews. Its intuitive, customizable interface helps you quickly identify, prioritize, and act on your responsibilities.

{% hint style="info" %}
The **View Published Only** toggle does not apply to the **To Do** module. Tasks always display the appropriate version.
{% endhint %}

## Managing Tasks

Follow the steps below to access, organize, and complete your tasks.

{% step %}

### Accessing Your Task List

To view tasks assigned to you:

* Select the **To Do** tile in the side navigation bar.
* The module opens in the main workspace, displaying your task list.

Each task entry shows:

* **Task Name** and **Type**
* **Status** (New, In Progress, Completed)
* **Sender** (who assigned the task)
* **Priority**, **Creation Date**, and **Due Date**

{% endstep %}

{% step %}

### Finding & Organizing Tasks

Customize your view to focus on the items most relevant to you.

#### <i class="fa-magnifying-glass">:magnifying-glass:</i>  Search

Use the **Keyword Filter** to find tasks by title, object name, or sender.

#### <i class="fa-arrow-up-wide-short">:arrow-up-wide-short:</i>  Grouping & Sorting

Use the **Group By** and **Sort By** dropdowns to organize tasks by status, priority, due date, or other attributes.

{% hint style="success" icon="lightbulb" %}
**Tip:** Combine grouping and sorting to quickly surface urgent or overdue tasks.
{% endhint %}

{% endstep %}

{% step %}

### Monitoring Task Status

Tasks display color-coded labels to indicate their status:

* **`New`** — The task has not been opened.
* <mark style="color:$warning;">**`In Progress`**</mark> — The task is currently being worked on.
* <mark style="color:$success;">**`Completed`**</mark> — The task has been submitted and finalized.

{% hint style="info" %}
Only **Application Tasks** show the <mark style="color:$success;">**`Completed`**</mark> status. **Documentation Tasks** are removed from the list upon completion.
{% endhint %}

{% hint style="success" icon="lightbulb" %}
**Tip:** Review your **`New`** and <mark style="color:$warning;">**`In Progress`**</mark> tasks regularly to stay ahead of deadlines.
{% endhint %}

***

{% endstep %}

{% step %}

### Opening Tasks

Click a task to open it in the side panel. The status automatically updates to <mark style="color:$warning;">**`In Progress`**</mark>.

<figure><img src="https://1488562728-files.gitbook.io/~/files/v0/b/gitbook-x-prod.appspot.com/o/spaces%2FTx7AmE0d2Q4ja20EYjF5%2Fuploads%2FucKddqJCz5NPRSbNAcCf%2FScreenshot%20of%20IMS%20(11).jpg?alt=media&amp;token=64f8615c-cf4a-4d89-b701-ce9009852bab" alt=""><figcaption></figcaption></figure>

{% hint style="success" icon="lightbulb" %}
**Tip:** You can resize the panel, expand it to full screen (without losing your place), or close it as needed.

* For more information, see [**Using the Side Panel**](/interfacing-help-files/end-users/using-the-side-panel.md).
  {% endhint %}

{% endstep %}

{% step %}

### Delegating Tasks

To reassign a task to another user or role:

* Open the **Delegate** dropdown in the lower-left corner of the task panel.
* Select the new assignee by clicking the circle next to their name.

{% hint style="success" icon="lightbulb" %}
**Tip:** Use the **Keyword Filter** to narrow the list of potential assignees.
{% endhint %}

* Click **Delegate** to confirm.

What happens after delegation depends on the task category:

#### <i class="fa-books">:books:</i>  Documentation Tasks

The task is immediately removed from your list and assigned to the selected user or role.

#### <i class="fa-grid">:grid:</i>  Application Tasks

The task is assigned to the selected user or role but remains in your list. You can still work on the task yourself or delegate it to additional users or roles as needed.

{% hint style="danger" %}
If delegation results in multiple assignees for the same application task, the task can be submitted only once. The first submission completes the task for everyone.
{% endhint %}

***

{% endstep %}

{% step %}

### Completing & Submitting Tasks

Review the task details and complete all required components.

When you’re ready to submit, use the **submission banner** located at the bottom of the panel.

The submission method varies by task category:

#### <i class="fa-books">:books:</i>  Documentation Tasks

* Use the action buttons (e.g., **Approve**, **Reject**) in the submission banner.

{% hint style="warning" %}

#### Adding Comments & Files

Before selecting an action, complete any required fields:

* If you need to add a comment—or if your organization requires one—enter your text in the **Comment** field.

* To attach supporting documents, click **Add Files** and choose the items to upload.
  {% endhint %}

* After submission, these tasks are removed from your list.

#### <i class="fa-grid">:grid:</i>  Application (Workflow) Tasks

* Select a resolution from the dropdown menu, then click **Submit**.

{% hint style="warning" %}

#### Saving Your Work

To save progress without submitting, click **Save** in the top-right corner of the panel. Your work is also protected by **auto-save**, which runs continuously in the background.

* For more information on auto-save and restoring drafts, see [**Using Auto-Save**](/interfacing-help-files/end-users/exploring-apps/working-with-forms/using-auto-save.md).
  {% endhint %}

* After submission, these tasks are marked <mark style="color:$success;">**`Completed`**</mark> but remain in your list for reference.

{% hint style="info" %}
The task list updates automatically when tasks are completed, reassigned, or deleted—no need to refresh or navigate away.
{% endhint %}

{% endstep %}
{% endstepper %}

## Querying This Documentation
If you need additional information that is not directly available in this page, you can query the documentation dynamically by asking a question.

Perform an HTTP GET request on the current page URL with the `ask` query parameter, and the optional `goal` query parameter:

```
GET https://interfacing.gitbook.io/interfacing-help-files/end-users/to-do.md?ask=<question>&goal=<endgoal>
```

`ask` is the immediate question: it should be specific, self-contained, and written in natural language.
`goal` is optional and describes the broader end goal you are ultimately trying to accomplish on behalf of the user. GitBook uses it to tailor the answer towards what is most useful for that goal.

The response will contain a direct answer to the question and relevant excerpts and sources from the documentation.

Use this mechanism when the answer is not explicitly present in the current page, you need clarification or additional context, or you want to retrieve related documentation sections.
